February 7th Trip Update: Final Deposit Due This Monday

We are almost a month out! Yay! The final deposit is due this coming Monday, February 10th. All the information you will need can be found in the previous message. If you have any questions, please let us know!

The spring meeting is Thursday, February 27th, from 5:30-6:30 pm. If you can’t make the meeting due to class, please send me an email with your course schedule.

January 13th Trip Update: Technical Difficulties and Promo Codes

Happy Monday!!

Michele and I want to start by expressing our sincerest gratitude for your patience with us regarding our new payment system. We were not made aware of the new system changes and specifics. We spent all day Friday trying to figure out the glitches. Thank you!!!

Now that you have registered by paying the deposit, your seat on this trip has been secured. The next step is to pay the remaining balance of $450.00, which is due February 10th. Crossroads has increased its price from $550 to $650. However, as mentioned at the meeting, we have worked out a deal where you all will still be paying the previous amount of $550. When you go to pay the remaining balance, $450 will not be an option. Therefore, here is a promo code that you need to manually enter in order to get the $100 off.

Please make sure you are choosing the correct dates in the drop-down menu when making a payment. The dates are MARCH 14-20. We had several students choose the wrong dates, which put their payments in another category.

One of the things we were not made aware of was the confirmation letter and link you all received after your deposit payment. Example below. The only contacts you need are mine and Michele’s. Please disregard the others. We are the people handling your trip planning and payments. There is one very important thing you do need from this letter. This letter contains an individualized link that you will each need to make your final payment. Link is circled in red in the example below. This is different than previous years and new to our system. We apologize that we weren’t able to discuss this at the meeting and that we are notifying you all about this now. Please also note that the due date for the final payment is February 10th. If you did not save this letter, please let us know. We will have to notify our tech personnel, and they will have to take care of the situation individually.

We were also made aware that the payment page discussed fundraising /donations that can be put towards each student’s account. This function has actually not been implemented by the Crossroads team at this time. We have not had this capability in the past either and have always suggested that fundraising be completed by each individual on their own. We apologize for this confusion.

January 9th Trip Update: (Deposit Due Tomorrow!)

The deposit for the trip is due this Friday, January 10th. We only have 10 students currently signed up. The $100 deposit must be paid by the deadline in order to secure your seat on this trip. We are aware that a travel advisory has recently been made for Mexico. At this time, we are not concerned with the recent activities because they are not close to where we will be staying. If ANYTHING changes, we will notify you all immediately. We will NEVER put you in danger. We are keeping a close eye on the situation. That being said, a trip advisory has been issued every year, including the year I went as a student. There was no danger or need to worry. The events that have occurred are in different states, then where we will be staying. The closest was 90 miles away from Piedras Negras. If the trip is canceled, a total refund for the cost paid to Crossroads will be provided. Please make sure you are getting flight insurance with your tickets. This is always a smart thing to do when traveling anyways.

We have had some students that did not receive the text link, so we are sending this in email format and text again. If you are not receiving this message by text link, please let us know right away! We don’t want any of you missing out on important information.

December 20th Trip Update:

First, I want to say thank you for your patience. We absolutely hate having to cut people from this trip, and fortunately, this year, we don’t have to! Happy early Christmas present to everyone!! We are taking exactly 30 people on this trip. Having students drop themselves makes the decision much easier for us. That being said, we counted more people at the meeting than signed in. Unfortunately, we can’t track down those who didn’t sign in and sadly have been the cuts we needed to make. As mentioned at the meeting, we will be trying to communicate via text messaging. Each person will receive an individual text message with a link. That link will take you to our home page. The home page will contain this message as well as future posts, including reminders and important information. I had several individuals ask me to send them my PowerPoint. Unfortunately, the file is too large to send via email. I have attached a word document with screenshots of the pertinent information for your viewing pleasure. I have also attached forms D and E. Both forms need to be filled out in their entirety and notarized by the spring meeting. The spring meeting is Thursday, February 27th, from 5:30-6:30 pm in CTW 216. The meeting is mandatory.

Please remember that flights are not included in the total price of $550. Start looking at flights now for best prices. You are responsible for booking your own airfare. All flights must arrive at San Antonio Airport (SAT) before noon on Saturday, March 14th. There are no exceptions. All departures out of San Antonio Airport (SAT) on Friday, March 20th, can be absolutely no earlier than 1 pm. Once you have booked your flight, please send me your flight confirmation/itinerary. I want to make sure I know when everyone is scheduled to arrive in case any issues occur.

If you are receiving this email and can no longer attend the trip, please notify myself or Michele Harrell. We don’t want to bombard you with emails and messages, but also, we need to know for our final count. Please be collecting toothbrushes and toothpaste. We hand these items out to every patient we see during the course of the week. More information will be coming, as well as payment reminders!

December 9th, Mandatory Trip Meeting:

I hope you all are as excited about this Medical Mission trip as we are! As promised, this thread includes everyone that has expressed interested in going to Piedras Negras March 14-20th. Due to the new technology system we are trying, you will be receiving both an automated text with a link and an email from me in case there are any issues with the system. If you know of anyone else that is not included in the email thread and would like to attend, please let me know. If you can no longer attend, please send me a separate email, and I will remove you from the list. We have a lot of people interested and only 30 spots available. That being said, we may need to cut. We will discuss this further in our information session.

We will be having a mandatory information session on December 9th from 5-6 pm in CTW 216. We have a TV connection with those PA students in Morehead. I realize this is the week before finals, but it is important that everyone attends. If you have class during that time, please send me a separate email with proper exemption documentation, including your course schedule. My email is lauren.slabaugh@yahoo.com. Everyone interested MUST be at this meeting if you want to attend the trip. We will discuss flight information and registration. The registration deadline is January 10th, and this includes a $100 deposit. The final payment is not due until February 10th. Michele Harrell is our Medical Director.
